Before committing
You are about to buy an AI tool or commission software, but the decision is not clear.
AI Decision Sprint
Decide what to fix first — and whether to keep, buy or build — with costs, risks and a practical implementation plan.
For businesses in the United States & United Kingdom · Remote collaboration
When it fits
You are about to buy an AI tool or commission software, but the decision is not clear.
Different vendors propose different solutions without a common baseline.
The team has tried AI tools but the everyday workflow has barely changed.
Already have a clear brief? A Sprint is optional; scoping is included in a build quote.
Deliverables
The process, people, tools and information involved.
Keep, buy or build: cost, effort, risk and reversibility.
The first useful step, what can wait and the reasons behind the choice.
Implementation and recurring costs, with assumptions made explicit.
Steps, owners, dependencies and a proposed sequence.
A working session with your decision-makers and the written document.
Illustrative deliverable
Fictional intake and onboarding scenario. Relative costs show the comparison; they are not a quote.
| Option | Approach | Cost | Key question |
|---|---|---|---|
| Keep and adjust | One intake form and a shared checklist | $ | Can the existing CRM support it? |
| Buy | Onboarding software connected to the CRM | $$ recurring | Does the tool handle your exceptions? |
| Build | A specific workflow around the CRM | $$$ + maintenance | Who owns it after launch? |
A possible next step: test a simpler intake process before commissioning a pilot. Measure time from request to kickoff.
Timeline
Agree the problem and receive the required information and access.
Up to three interviews, process mapping and a review of tools and data.
Compare options, costs, risks and dependencies.
Readout with decision-makers and the final decision document.
Before kickoff
Describe where it starts and ends, the people involved and the decision you need to make. Keep the question narrow enough for one Sprint.
Prepare authorized, minimized examples, a list of current tools and known limits on access, budget and timing. Agree a secure way to share any necessary material.
Bring observed volumes, time or rework when available. Identify who can approve a change and who will maintain it.
Scope
One priority problem and a clear decision package.
A different engagement is needed for broader or specialist work.
$2,500 fixed, USD excluding taxes, paid in full before kickoff. The Sprint is not automatically credited against a later build.
FAQ
No. The Sprint examines the people, process, information and tools around one priority problem. A broader audit, security assessment or compliance certification requires a different scope.
The target starts after kickoff and receipt of the agreed information and access. Missing dependencies or unavailable decision-makers can change the schedule.
The recommendation can be to keep or configure existing tools, simplify the process or postpone investment. The deliverable is a reasoned decision, not a commitment to commission software.
No automatic credit applies. The Sprint is $2,500 excluding applicable taxes, paid before kickoff. Any later implementation has its own written scope and price.
After the decision
Use a bounded Sprint for one decision, or discuss recurring advice when the questions span several months.
